Guest Privacy Policy

Overview

This policy explains how Think Loud Studios ("we," "us") collects, uses, shares, and protects information when you register as a guest through stay.thinkloudstudios.com.

Information we collect

  • Identity and contact: legal name, email, phone, home address, date of birth, and emergency contact.
  • Identity verification: a photo of your government-issued ID and a live selfie captured in-app.
  • Payment: a card on file, processed and stored by Stripe. We do not store your full card number; we retain only a secure token, the last four digits, and the card brand.
  • Stay details: reservation dates, assigned room, snack and drink preferences, and any notes you provide.
  • Agreement: your electronic signature and acknowledgment of our guest agreement, including Pennsylvania two-party audio-recording consent, along with the timestamp, IP address, and device information recorded at signing.

How we use your information

  • Verify your identity and confirm you are 21 or older for building and licensed-bar access.
  • Manage your reservation, room access, and stay.
  • Keep a card on file for documented incidentals as described in the guest agreement.
  • Communicate with you about your stay.
  • Protect the safety and security of guests, staff, and the property, and meet legal and liability obligations.

How we share your information

We do not sell your personal information. We share it only with providers that help us operate the portal, or as required by law:

Data retention and deletion

For overnight guests, your government ID image, live selfie, signed-agreement files, and saved card are automatically and permanently deleted 60 days after checkout.

For day visitors, your government ID image, live selfie, and signed-agreement files are retained for up to 90 days after the visit date and are then automatically and permanently deleted. Day visits do not require a card on file.

Non-sensitive records such as name, contact details, and visit or stay dates may be retained for business and legal recordkeeping.

Security

Your information is encrypted in transit and at rest and stored on access-controlled infrastructure. Staff access to ID and selfie images is restricted.

Children

Our services are for adults 21 and older. We do not knowingly collect information from anyone under 18.

Changes

We may update this policy; the effective date above reflects the current version.
